Group Sales FAQs
Yes, ACE Adventure Resort provides nonprofit group rates for 501(c)3 nonprofit organizations.
A Group Sales reservationist will set up your organization as a non-profit account/profile, Confirmation of that status and the taxes removed requires the completion of the Streamlined Sales Tax Exemption form found here. Please note, the signature of an approved purchaser of the organization is required at the bottom of the form.
ACE charges a $5/person per guided activity Resource Fee.
Prebooked served meals include a 15% gratuity added to the reservation.
You can secure your reservation by making a nonrefundable deposit. The balance would be due 30 days before your arrival. You can learn more about ACE’s Payment and Cancellation Policies here.
ACE has launched a High Adventure Package specifically for Non-Profit youth groups, the New River Gorge High Adventure Package. The package includes a 6-piece patch set for each participant. The trips start with a Sunday arrival and a Friday Departure.
ACE’s newest package options for nonprofit groups are the Multi-Adventure Riverside Overnights. In addition to the Upper/Lower New River two-day rafting overnight trip, which includes staying overnight at ACE’s Erskine Flats overnight campsite along the banks of the New River. ACE does not require a minimum number of nights for a stay. The length of a group’s stay is determined by them. Your Group Sales reservationist will assist you with how to maximize your budget to provide the length of your stay, activities, and meals for your group size to meet your needs.
Your organization’s adult/youth ratio is what drives the number of adults needed. ACE does require that a minimum of one adult accompany any youth during your group’s stay: on guided activities, at the waterpark, at meals, or when participating in “on your own” activities at the resort.
Age and weight restrictions are considered during the reservation process. The ACE website includes specific information regarding age, weight, and height requirements pertinent to specific activities. The Group Sales reservationist will review age and weight requirements as well.
ACE provides lodging options for a broad range of price points. Group Leaders will find budget-friendly options such as:
Primitive Camping – includes a green space, parking, picnic table, firepit, and access to the shower house with hot running water.
Bunkhouses – include options for up to 12 or 16 people; some with bathrooms, and others are serviced by the shower house close by.
Group Tents – are an inexpensive option that allows a group of 12 people to camp on a platform, with a canvas surround, metal roof, and electricity. Each unit includes, picnic table, parking space, fire pit, and showerhouse close by.
Cabin Tents – located on top of the mountain close to the primitive camping area, these cabins include 2 bunk beds (a double bed on the bottom and a single bed on the top), allowing a maximum of 6 people. These cabins are clustered together, combining multiple units for use by large groups.
Cedar Cabins provide added comfort such as air conditioning, and an open floor plan similar to a hotel room with 2 queen beds and 2 rollaways, a kitchenette, and bathroom. Linens are included, along with a fire pit and picnic table, for evening campfires. At $179/night for up to four people, these cabins hold a maximum of six people.
Camping, platform tents, bunkhouses, cedar cabins, and deluxe lodging are strategically clustered together for individual families or large groups to stay together, close to each other.
Ace Adventure Resort’s full service restaurant, patio grill, and treetop cafe provide a large selection of convenient regional and popular food options as well as a full service restaurant. You can prebook meals or walk in during the regular Summer Season, starting Memorial Day Weekend through the Labor Day weekend. In addition to the restaurant, there are Group Meals available for a minimum of 15 people, served at the Kingfisher Pavilion, inside the waterpark, or as a take-out option. The menu selections are available upon request from your Group Sales reservationist.
ACE’s restaurant and trip lunches can be prepared to meet specific dietary needs. Notification of these special needs is included in the meal notes of the reservation during the reservation process.
Guided activities are not required when booking the waterpark for your group. Many non-profit organizations use the waterpark as a day trip for youth from the area, or when driving through the area, as a fun stop along the way.
Lodging reservations at the resort are not required to participate in guided activities or the waterpark. Many groups enjoy staying on the property and avoiding spending time and money driving to and from the resort.
ACE has four locations for groups to meet:
Deer Hollow Meeting Tent – for groups staying in the Deer Hollow bunkhouses and group tents, you’ll find a meeting tent available “first come first served” or as a reserve space. Electricity included.
Meeting Tent Rentals can be set up at specific locations.
Kingfisher Conference – located inside the waterpark area on the hill; it comfortably seats up to 50 people with tables and chairs, air conditioning, a “white board”, and a smart TV to connect your laptop for presentations.
Event Area Pavilion – the event area on top of the mountain seats up to 500 people with the option of a kitchen rental. Electricity and wifi included. Cabin tents and campsites are located next to this space to create a private location for a multi-day camp/event space.
The New River Gorge National Park is your hiking and mountain biking destination. You’ll find trails in the national park; those same trails are featured in the WV Tourism/waterfall trail system, and, of course, ACE Adventure Resort provides 35+ miles of hiking and biking trails free of charge. You’ll find rail trails and the Needles Eye Bouldering Park as well.
West Virginia’s newest state park, Summersville Lake State Park, is located just 20 minutes away. Water sports, boat rentals, and swimming, all “on your own”, abound. Climbers enjoy climbing the cliffs surrounding the lake.
In addition to a guided fishing trip, you can also fish “on your own” here at ACE on the ponds located in Aspen Cove. With the purchase of a WV Fishing License you can fish along the New River, it’s tributaries, and at Plum Orchard Lake Hunting and Fishing Area.
When is the last time you spent an evening at a drive-in theatre? Oak Hill, WV is home to the Starlite Drive-In Theatre. A fun and budget-friendly way to spend the evening.
In addition to ACE’s 18-hole disc golf course, you’ll find opportunities in 3 other locations within a 15 – 20 minute drive from the resort.
