Meeting Spaces in the New River Gorge

SHARE

The Event Area at ACE is one of the options for large groups that provides a place to gather together, offer organizational programming, and serve meals.  The addition of the double-stage area expands your event experience to include live music and guest speakers.  Primitive camping sites and the Cabin Tents located on both sides of the Event Area are within easy walking distance making this option the perfect location for groups of 100 + to utilize for a single-day or multi-day event.

There are many ways different groups utilize this site:

Corporate groups use the space to gather employees and families. They will often participate in activities that include waterpark passes or guided activities such as rafting and ziplining. Usually with a meal provided by ACE’s restaurant; and then they will use the event area as a meeting place to gather for awards, music, and any additional activities provided by the company.

An “Adults Only” Corporate event enjoys the use of the pavilion to provide a more private evening gathering with a bar and live music.

Large Non-Profit youth organizations utilize the Event Area to come together for their morning and evening programming, for a combination of pre-booked meals with ACE or to meal prep “on their own”. The convenience of the Cabin Tents and primitive camping provides a private and secure area for their youth and leaders to relax and get to know each other.

Scheduled Shuttle buses can be added to move participants around the resort to participate in guided activities and play at the waterpark while here.

ACE’s newest addition to the Event Area is a new kitchen located right next to the pavilion with refrigeration and serving windows opened to the Event Pavilion. Equipment has been purchased, utilities are in place, and the walls are going up.  ACE will use that space to prepare and serve prebooked meals. However, it can also be used as an option for a group to rent and prepare meals themselves.  We look forward to providing this kitchen rental option to complete the Event Area facilities available for groups of all kinds.

The Event Area has endless possibilities for non-profit groups, corporate gatherings, family reunions, special events, weddings, and private camps.   ACE has all of the important components for gathering, meals, and lodging for group leaders to create a space to add programming and activities that uniquely meet the needs of their members.

Festival Roots and Special Events

The Event Area at ACE Adventure Resort got its start as the location of Mountain Music Festival.  June 6 – 7, 2025 will be MMF’s 11th anniversary.  During the day you’ll find food and craft vendors, workshops, and visual artists.  Over 20 bands, from a wide variety of genres, play on multiple stages throughout the venue and the resort.

Other New River Gorge events include Dome Fest (August 7 – 9,2025) for the first time and Settlefest (October 10 – 11, 2025). The space has long been used by regional for-profit and non-profit organizations looking for outdoor event venues in West Virginia.

In addition to the music festival there are yoga retreats, Jeep and Off road festivals, and large reunions that use the private space the Event Area offers to create their own unique space.

Kingfisher Conference Room

For those groups up to 50 – 60 people, this conference room and deck area, overlooking the waterpark is a great fit.  Because of its location inside the waterpark, family groups that need an inside space option for young children and elderly family members to take a break from the Summer sun and heat, find it to be the perfect solution.  For Corporate and Non-Profit groups looking for a conference room for programming and workspace, the wifi, smart TV, and whiteboard create a productive space.  This conference room option can be easily added to a reservation for specific dates and times.

Meeting Tents

ACE offers Meeting Tents that can be set up in a variety of locations.  You will find them in the yard of deluxe cabins for family and corporate groups to gather under in the evenings.  For large groups, there might be one in the campground to use for meals and as a shelter in inclement weather.  Meeting tents can be set up for groups that need a check-in area for their members to find and register for their event when they arrive.  We are always finding new ways and reasons to use these meeting tents for temporary shelter or to extend an outdoor space.

Concho Overlook is not just a place to hike to during the day.  The deck overlooking the New River is a popular wedding venue.  Family reunions, corporate groups, and youth retreats also meet at Concho for their group pictures.  It’s easy to access by the 30-minute hike through the woods or a 5-minute drive with everyone meeting at the overlook deck.  With the river below you, the historic town of Thurmond just across the river, and the mountains filling the viewshed, it’s also a great location for evening and morning programming. The field @ concho makes for a great place to play ultimate frisbee, flag football, or capture the flag.  Meeting tents can be set up with electricity available.  Portajohns provide restroom facilities throughout the Summer and Fall for groups who wish to reserve Concho for a private event. Yoga retreats often use Concho Overlook’s deck for outdoor sessions.

Concho is that spot at the resort with which plans for its future development are in the works.

The Lost Paddle Restaurant is the heart of the resort during the Summer season.  Your group is always welcome to join us at the Lost Paddle for food, beverages, and live music.  You can pre-book meals for the restaurant or just walk-in and order food from the menu. The Upper level of the Lost Paddle includes an outdoor deck and bar.  The lower section has table seating inside and outside on the patio.  For “to go” items you can order from the outside patio grill window.

During the Off Season (November through April)  booking the Lost Paddle for private events is an option based on availability.  Friday nights are Trivia nights and Saturdays often have a special event.  During the week (Monday – Thursday)  large groups can plan retreats or conferences, take advantage of discounted lodging, and book the Lost Paddle during the day or for an evening meal or party.
